Position Opening: Administrative Coordinator
The Iowa Association of Electric Cooperatives (IAEC) seeks a dedicated administrative professional to fill critical support roles in our member-service driven association. This position is an excellent opportunity for an organized, detail-oriented individual with an interest in supporting electric cooperative workplace safety and compliance, training and education. This is a full-time position based at the IAEC’s Urbandale office.
Job Summary:
The Administrative Coordinator plays a vital role in supporting the IAEC Safety & Loss Control Department Director and Safety Training Instructors. The position serves as the main gatekeeper for all activities within the department by coordinating the scheduling and managing administrative tasks. This role also devotes a small portion of their time to supporting IAEC’s Director of Education & Training.

Key responsibilities include:
- Manages the scheduling of safety services, coordinating calendars with member cooperatives and the director and all instructors, responsible for day-to-day scheduling updates.
- Assists in planning for various safety workshops, schools, training programs and meetings.
- Works closely with IAEC’s Education & Training Director to support program registration, including online registration set up, assisting with online registration updates, assembling event materials, and day-of-registration assistance at trainings and events.
- Supports Education & Training Director with maintaining IAEC’s Learning Management System (LMS), including adding or researching content for Safety Coordinator materials.
- Maintains accurate safety records, including tracking safety attendance sheets, job site observations tracking, and IAEC’s online Material Safety Data Sheet (MSDS) repository.
- Manages scheduling and provides support for IAEC’s Apprenticeship Training Program.
- Compiles and distributes department’s monthly Safety Sentinel newsletter.
- Processes department’s invoices and registrations.
- Maintains accurate information on IAEC Emergency Plans, Disaster Plans, Outage Map, safety page on IAEC’s website, and other tracking within the department.
- Provides occasional updates or overviews of departmental activities, including PowerPoint presentations.
- Serves as a resource to members for safety-related matters, answers or triages member questions for the safety department.
- Assists in other duties as assigned.
- Provides general assistance across departments in support of IAEC’s overall programming and mission.
The Iowa Association of Electric Cooperatives is a trade association established to support the interests of member-owned electric cooperatives, including 37 distribution co-ops and nine generation and transmission co-ops. Requirements
Required Education:
High school diploma and at least two years of additional schooling or equivalent experience.
Position Requirements:

- Excellent self motivation and organizational skills with ability to balance multiple tasks, prioritize work, and successfully complete assignments on time.
- Ability to work independently and effectively communicate and coordinate with other departmental staff and supervisor when they are working in remote locations.
- Excellent verbal and written communications skills.
- Maintain a professional demeanor, even under pressure.
- Ability to use Microsoft Office’s suite of computer software programs, particularly Word, Excel and PowerPoint. Ability to easily learn new software platforms used in an office environment, including by not limited to accounting, learning management systems and event registration.
- Ability to operate computers and equipment generally found in an office setting.
- Ability to actively participate in physical activities consistent with a general office environment and what would typically be needed for conducting member training events.
- Move, lift, load or unload items weighing up to 35 pounds.
- Give close mental and visual attention or concentration, sometimes for extended periods.
- Conduct repetitive and varied tasks.
- Sit, stand, reach, walk, speak, and drive, sometimes for extended periods. Work involves some irregularities and difficulties, and repetitive and varied tasks.
- Perform work in a normal office setting, warehouse, or various indoor or outside environments.
- Possibly perform some duties during non-traditional working hours.
- Possibly work in conditions where they may be exposed to dirt, noise, fumes, temperature extremes, inclement weather or driving hazards.
- Maintain a valid driver’s license.
- Travel, on a limited basis in support of IAEC programs or for individual training/staff development. Most all travel would be in-state, but while infrequent, there is the possibility of out-of-state travel.
